The opportunity

This is an exciting opportunity for a highly organized, relational leader to play a vital role in the day-to-day operations of a growing, multi-campus church. While the title is Facility Coordinator, this position is much more than maintenance—it is a project management and people leadership role focused on keeping White Oak’s facilities safe, functional, welcoming, and ready for ministry.

Working Monday through Friday, the Facility Coordinator will oversee the moving pieces that keep the church running well. This includes coordinating vendors and contractors, managing preventative maintenance and facility projects, overseeing budgets and inventory, prioritizing campus needs, and building and equipping volunteer teams. Rather than being the person who personally handles every repair, this leader will ensure the right people are in the right place at the right time to get the work done well.

Because so much of this role involves working with volunteers, vendors, staff, and ministry leaders, a shepherd’s heart is just as important as strong organizational skills. The ideal candidate will be someone who enjoys serving others, communicates clearly, builds trust, and can bring both structure and care to the work. They will have the ability to see the big picture while also making sure the details don’t get overlooked.

Job Summary

The Facility Coordinator oversees maintenance, repairs, contractor coordination, equipment organization, facility planning, and building volunteer teams across all campuses to keep church properties safe, functional, and well maintained.

Roles & Responsibilities

  • Oversees campus maintenance operations, determining whether work should be completed in-house or coordinated through outside contractors for building systems, grounds, preventative maintenance, HVAC, security and fire protection systems, electrical, plumbing, painting, parking lots, doors, windows, lawns, and landscaping.

  • Plans, schedules, and evaluates preventative maintenance activities to support long-term facility care and operational readiness.

  • Manages tools, equipment, and material inventory systems to ensure resources are organized, maintained, and available for campus needs.

  • Builds, equips, schedules, and manages volunteer teams to support facility needs across campuses.

  • Develops and maintains capital furniture, fixtures, and equipment replacement schedules to support budgeting and long-term planning.

  • Develops and manages schedules for regular space updates, prioritizing projects based on campus needs, budget, and ministry impact.

  • Develops, monitors, and manages the maintenance budget, including planning for recurring needs, repairs, supplies, and replacement priorities.

  • Coordinates janitorial support needs and addresses facility readiness concerns as needed.

  • Performs other duties as assigned.

Requirements

  • Strong organizational skills with the ability to create, follow, and improve procedures, schedules, checklists, and tracking systems.

  • Strong oral and written communication skills, with the ability to coordinate clearly with staff, vendors, volunteers, and ministry leaders.

  • Demonstrated ability to plan, prioritize, and manage multiple facility needs, projects, and schedules across campuses.

  • Experience coordinating vendors, volunteers, staff, service teams, projects, or operational processes preferred.

  • Basic budgeting, purchasing, inventory, supply management, or administrative tracking experience preferred.

  • Facilities, maintenance, construction, trade, or related experience preferred; equivalent experience in operations, project coordination, volunteer coordination, or administrative systems may be considered.

  • Reliable transportation required for travel between campuses.

Education & Experience

  • High school diploma or equivalent required.

  • Post-high school technical training, trade school, apprenticeship, or related certification preferred.

  • Ability and willingness to learn building systems, maintenance processes, facility operations, and safety procedures.

  • Practical knowledge of building systems, maintenance, repair, or facility operations preferred.

  • Mechanical, electrical, plumbing, carpentry, HVAC, safety, or related technical certifications preferred.
